How to Build a Personal AI Email Assistant Using Claude
Email is one of the biggest time drains in any business. The average business owner spends over two hours a day on email - reading, sorting, responding, and following up. Claude can take a significant chunk of that off your plate by connecting directly to Gmail and Google Calendar and acting as a personal email assistant that works in the background. This guide walks you through the setup step by step.
What a Claude Email Assistant Can Do
Once connected to your Gmail account, Claude can read your incoming emails and produce a daily summary of what's most important, identify emails that need a response and draft replies for your review, flag urgent messages and filter out noise, cross-reference your Google Calendar to give you a combined view of your day, and run these summaries on a schedule so they're ready when you start work each morning. This isn't a chatbot that answers questions about your email - it's an active assistant that works through your inbox on your behalf.
Step 1: Connect Gmail in Claude Cowork
Open the Claude desktop app and navigate to Cowork mode. In the connectors or integrations section, find Gmail in the list of available connections. Click Connect and follow the OAuth authentication flow - you'll be redirected to a Google sign-in page where you authorise Claude to access your Gmail account. The permissions you grant are read-focused by default, meaning Claude can read your emails but won't send anything without your explicit instruction. Once connected, Claude can immediately start working with your inbox.
Step 2: Connect Google Calendar
Repeat the same process for Google Calendar. Having both Gmail and Calendar connected is what makes the email assistant genuinely powerful - Claude can cross-reference your schedule with your inbox to give you context that neither provides alone. For example, it can flag an email about a meeting that conflicts with something already in your calendar, or remind you to follow up with a client you have a call with later that day. The combination of email and calendar data transforms Claude from an email sorter into a genuine scheduling and communication assistant.
Step 3: Create Your Morning Briefing Task
In Cowork, create a new Task and define its purpose: every morning at a time you specify, Claude should review your Gmail inbox from the last 24 hours and your Google Calendar for the day ahead and produce a structured briefing. Define the format you want - for example, three sections covering urgent emails requiring a response, key calendar events for the day, and a list of any follow-ups flagged from previous communications. Set the schedule, save the task, and it will run automatically every morning without you triggering it.
Step 4: Set Up Recurring Email Summaries
Beyond the morning briefing, you can create additional recurring summary tasks for different purposes. A weekly summary every Friday afternoon that reviews all client communications from the week. A monthly digest of all emails from specific contacts or domains. A daily end-of-day summary that identifies anything that came in after your morning briefing. Each of these is a separate scheduled task that runs independently. The more specifically you define what you want summarised and in what format, the more immediately useful the outputs are.
Step 5: Draft Replies for Your Review
One of the most time-saving configurations is asking Claude to not just summarise emails but draft replies to ones that need a response. In your task instructions, tell Claude to identify emails requiring a response, draft a reply for each one in your tone of voice, and present them for your review and approval before sending. You review the drafts, make any edits, approve them, and Claude handles the sending. What used to take 45 minutes of writing and responding becomes a 10-minute review session.
