How to Automate Client Intake and Document Collection

Step 1: Decide what you genuinely need up front

Step 3: Generate the document request from the record

Step 4: Chase automatically, escalate to a human

Missing documents trigger a reminder after two days, another after five, then a task for a person on day eight. The reminder names the specific documents still outstanding rather than sending a generic nudge. This one step usually removes the largest chunk of admin time, because chasing is what your team actually spends the week on.

Step 5: Confirm and hand over

When the record is complete, the client gets a confirmation of what was received and what happens next, and the owner gets a single notification with everything in one place. No status meeting required to find out where a file stands.

What to check before you go live

Test a client who uploads the wrong file, one who uploads nothing, and one who replies to a reminder with a question. Those three paths are where intake automations fail in the real world.
